Information for Oral & Poster Presenters

Please take the time to read these guidelines to ensure your presentation is successful.

Prior to the Conference

  • All presenters are required to register and pay to attend the conference.
  • Please register via our online registration form: [IBSC 2018 registration]
  • Proof of payment of registration is required prior to presenting at the conference.

ORAL PRESENTERS

  • Onsite at the Conference

    • Speakers will need to register at the registration desk when they first arrive at the conference to collect their name badge and other related materials. Please register before 10 am to ensure the inclusion of your session in the day programme.
    • From there you will be directed to the Speaker Preparation Area where you must check in with the audio visual technicians. If you have any queries regarding the program or your presentation during the conference, please visit the registration desk at the conference site.


  • Session Details

    • Please visit the conference website well ahead of time to confirm details of your session time. The program is subject to change so please ensure you check any changes with the registration desk at the conference site.
    • Each oral presentation will run for 10 minutes (8 minutes to present and 2 minutes for Q&A).
    • In the interests of fairness, please ensure that you keep to your allotted time frame. The session chair will time your presentation and provide you with a warning 2 minutes before your time expires.
    • It is extremely important that you run to time. Running overtime is disrespectful to other speakers and highly disruptive to delegates.


  • Your Oral Presentation

    • Please arrive at your session room at least 10 minutes before your session begins. Session chairs will need time to meet you and ensure their planned introduction for you is correct. They also need to explain how the session will be run and to show you where to sit.
    • Please note that the official conference language is English. All presentations must be made in English.


  • Your Slide Presentation

    • Your slide presentations should be supplied via a CD or USB Memory device.
    • Our presentation system uses Microsoft Office Power Point on a Windows operating System.

 
POSTER PRESENTERS

  • Onsite at the Conference

    • Speakers will need to register at the registration desk when they first arrive at the conference to collect their name badge and other related materials. From there you will be directed to the Poster Display Area.
    • A list of posters and allocated numbers will be available within the program for viewing upon your arrival. For identification purposes a poster board number will be provided to you onsite upon registration. Please ensure that your poster is displayed on the correct poster board. Do not place your poster in an alternate location.


  • Session Details

    • Please visit the conference website well ahead of time to confirm details of your session time. The program is subject to change so please ensure you check any changes with the registration desk at the conference site.
    • In order to set-up your poster, it will be necessary to collect your badge first so you are able to gain access to the poster area. Poster mounting time is from 8 am and poster removal time will be updated on the conference day. Any posters remaining at the end of the conference will be discarded.


  • Your Poster Presentation

    • Authors are requested to be present next to their poster during the poster reception indicated in the official schedule. The posters can also be viewed during the lunch breaks.
    • Please note that the official conference language is English. All presentations must be made in English.


  • Your Poster Preparation

    • The poster should be a visual presentation of your submitted abstract.
    • Posters should meet the following criteria:
    • TITLE: The title should reflect the content of your poster and match your abstract submission.
    • CONTACT INFORMATION: Name, organisation, telephone number, e-mail address and of the corresponding author and the affiliations of all co-authors should appear on the poster.
    • CONTENT: Poster should include the Introduction/Background, Objective, Result and Discussion, Conclusion, Acknowledgment and References.
    • SIZE: The dimensions of the posters should be A1 size 0.840 m wide by 1.189 m high (portrait orientation). A small amount of velcro for mounting your poster will be available in the poster area however we suggest that you bring your own to support your poster.
    • LETTERING: The poster should be easily readable at a distance of two metres. Use UPPER and lower case for general content as the use of all-capital text is difficult to read. Avoid using mixtures of type/font styles.
